For a webinar, you will typically have a handful of presenters, and MANY attendees. A webinar typically does not allow for audience audio or video participation. Examples of common webinars at Riverdale are listed below:

🗓️ Configure Google Meet for Webinars

1️⃣ Webinar Setup in Google Calendar

When you want to schedule a large meeting or webinar, always start with creating a Google Calendar event with you as the event owner. This will allow you to assign co-hosts, breakout rooms, and configure other important meeting settings. Follow this visual step-by-step walkthrough for configuring several in-meeting settings, and where to find relevant menus and options.

  1. Create a Calendar Event in Google Calendar
  2. Add Guests to the Calendar Event
    • These are the co-hosts!
  3. Set Meeting Type to Restricted
    • This ensures that anyone not added to the meeting calendar invite will wait in a Waiting Room before the meeting starts
  4. Save the meeting
  5. Open and Edit the meeting
  6. Click the Gear Icon next to the Google Meet info
  7. Click Guests
  8. Select Everyone is a viewer by default
    • This disables video AND audio unless you are a Contributor or Co-host
  9. Add Co-hosts to the meeting
    • They must be added to the Guest list in the calendar invite first!

2️⃣ After Starting Meeting (Day-of)

There are certain settings that you can only change once the meeting has started. We recommend starting large meetings at least 10-15 minutes ahead of time so that you can configure in-meeting settings properly before attendees join!

  1. A Co-host logs into the Google Meet from Google Calendar
  2. Admit any guest speakers from the waiting room
  3. Make Guest Speakers Co-hosts or Collaborators
  4. Disable Chat, Screensharing, and other relevant settings as needed
  5. Enable or disable Q/A as needed
  6. Setup Poll Questions as needed
  7. Set Meeting Type to Open to disable a waiting room
  8. Admit all waiting room members
